Overview
ScopeSnap ("we", "us", "our") is committed to protecting your privacy. This policy explains how we collect, use, store and protect your personal information when you use our website and application.
ScopeSnap is operated by ScopeSnap Pty Ltd (ABN 84 698 607 868), based in South Australia. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using our services, you agree to the collection and use of information in accordance with this policy.
Information we collect
We collect information you provide directly to us:
- Account information: name, email address, company name and role when you sign up or contact us.
- Job data: site addresses, client details, photos, voice recordings, notes and scope documents you create within the app.
- Payment information: payments are processed by Stripe. We do not collect or store your full card number — card details are provided directly to Stripe and handled under Stripe's privacy policy. We retain billing records such as your plan, billing history and receipts.
- Usage data: how you interact with the app, features used and general usage patterns to help us improve the product.
Your clients' information
When you create jobs in ScopeSnap, you may upload personal information about your own clients — such as names, contact details, site addresses and photos of their properties. You are responsible for ensuring you are entitled to collect and upload that information and for telling your clients how it will be used. We process this information only to provide the Service to you, and we do not use it for any other purpose.
How we use your information
We use the information we collect to:
- Provide, operate and improve the ScopeSnap service
- Process AI-powered transcription and scope generation on your behalf
- Send you product updates and relevant communications (you can opt out at any time)
- Respond to your questions and support requests
- Detect and prevent fraud or misuse
We do not sell your personal information to third parties.
AI processing
ScopeSnap uses AI to transcribe your voice recordings, analyse photos and generate written scope reports. When you use these features, the relevant content (voice audio, photo data and room notes) is transmitted to third-party AI service providers for processing. This transmission is encrypted in transit. AI providers process your data only to return results to us and are bound by data processing agreements that prohibit them from using your content for any other purpose.
We do not use your job data to train AI models, and we do not permit our AI providers to do so either.
Data storage and security
Your data is stored using Supabase, a cloud database and authentication provider. All data is encrypted in transit (HTTPS/TLS) and at rest. Photos and files are stored in secure cloud object storage. Our application is hosted on Vercel.
We take reasonable steps to protect your information from unauthorised access, but no method of transmission over the internet is 100% secure.
Overseas disclosure
Some of the cloud infrastructure, AI and payment providers we use may store or process data outside Australia (including in the United States). Where this occurs, we take reasonable steps to ensure those providers handle your information consistently with the Australian Privacy Principles and their own published privacy and security commitments.
Data breaches
If a data breach occurs that is likely to result in serious harm, we will notify affected users and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth).
Data retention
We retain your account data for as long as your account is active. Job data, photos and recordings are retained according to your plan's photo retention period, or until you delete them or close your account.
Your rights
You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your data
- Opt out of marketing communications
- Export your data in a portable format

Complaints
If you believe we have mishandled your personal information, contact us first at hello@scopesnap.com.au and we will respond within a reasonable period. If you are not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.
Cookies
Our website uses minimal cookies necessary for the site to function and to collect anonymous usage analytics via Vercel Analytics. We do not use advertising or third-party tracking cookies. No personally identifiable information is collected by our analytics.
Third-party services
We use the following key third-party providers to operate ScopeSnap. Each is bound by their own privacy policy and, where applicable, a data processing agreement with us:
- Supabase (supabase.com) — database, authentication and file storage. Data may be stored on servers in the United States.
- Stripe (stripe.com) — payment processing. Card data is handled directly by Stripe and is never stored by us. See Stripe's privacy policy.
- Resend (resend.com) — transactional email delivery (account notifications, trial emails). Your email address is shared with Resend for this purpose only.
- Vercel (vercel.com) — website and application hosting, and anonymous usage analytics.
- AI service providers — third-party AI services used to process voice recordings and generate scope content. Providers are selected for their security practices and are contractually prohibited from using your data for model training.
Changes to this policy
We may update this privacy policy from time to time. We will notify active users of significant changes by email or through the app. The date at the top of this policy reflects when it was last updated.
